CaseFlow ("we," "our," or "us") operates the CaseFlow missed-call recovery and SMS intake platform (the "Service"). This Privacy Policy explains what information we collect, how we use it, and how we protect it — including when you interact with us via SMS text messaging.

By using the Service or submitting information through it, you agree to the practices described in this policy.

1. Information We Collect

We collect information you provide directly to us through SMS or other interactions with the Service, including:

  • Your name
  • Your mobile phone number
  • The nature, date, and circumstances of your incident
  • Whether you have injuries, have sought medical care, or have retained an attorney
  • A description of your situation as you provide it
  • The content of SMS messages you exchange with the Service

We may also collect technical information automatically, such as message timestamps, delivery status, and inbound call records, as part of operating the Service.

2. How We Use Your Information

We use the information we collect to:

  • Follow up on missed calls and initiate an intake conversation via SMS
  • Conduct an initial case intake evaluation on behalf of the subscribing attorney or firm
  • Route your inquiry to the appropriate legal professional for review and follow-up
  • Maintain records of communications and intake responses through the platform
  • Comply with applicable legal and regulatory obligations
  • Improve the reliability and operation of the Service

3. SMS and Mobile Messaging

How you receive messages

CaseFlow may send you an SMS when you call a participating law firm and the call goes unanswered. This text is sent in direct response to your call and is limited to following up on your inquiry. You may also receive messages if you text our intake number directly. Message frequency varies depending on your responses during the intake process. Message and data rates may apply.

Opt-out

You may opt out of SMS messages at any time by replying STOP to any message from us. After opting out, you will receive one final confirmation message and no further texts unless you re-initiate contact.

Help

Reply HELP to any message for help, or contact us directly at support@trycaseflow.com.

How we protect your mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

All categories of personal data described in this policy exclude text messaging originator opt-in data and consent. This information — including your mobile phone number, opt-in status, and the content of SMS messages — will not be shared with any third parties for marketing or promotional purposes.

Your phone number and SMS message content are used solely to facilitate your intake inquiry and communicate with you about your potential matter.

4. How We Share Information

We do not sell your personal information. We do not share your information with third parties for marketing or promotional purposes. We may share information only as follows:

  • Service providers: We use third-party technology providers — including Twilio for SMS delivery and Supabase for data storage — to operate the Service. These providers process your data on our behalf and are contractually required to protect it. They are not permitted to use your information for their own marketing purposes.
  • Subscribing law firms: Intake data you submit through the Service may be shared with the attorney or law firm using CaseFlow to evaluate your inquiry. This is the primary purpose of the Service.
  • Legal requirements: We may disclose information if required by law, court order, or other governmental authority.

5. Data Security

We take reasonable administrative, technical, and physical measures to protect your information from unauthorized access, use, or disclosure. No method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security. If you have concerns about the security of your information, contact us at privacy@trycaseflow.com.

6. Data Retention

We retain your information for as long as necessary to fulfill the purposes described in this policy, including routing your inquiry, complying with our legal obligations, and resolving disputes. If your matter does not proceed, we may retain your information for a reasonable period consistent with applicable record-keeping obligations.

7. Your Choices

You may contact us to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information, subject to applicable obligations
  • Opt out of SMS messages by replying STOP to any text from us

To exercise any of these rights, contact us at privacy@trycaseflow.com.

8. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has submitted information to us, please contact us immediately so we can remove it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Your continued use of the Service after any update constitutes acceptance of the revised policy.
